How Can I Fax Without a Fax Machine?

Even in a world of smartphones, certain documents can only be sent via fax. It can be a hassle to find a fax machine at times. But there’s a much easier option: faxing right from your Gmail account. With a service provider like RingCentral, you can send a fax from Gmail in just five minutes.

How Do I Get Started?

To fax from Gmail, all you need is your Gmail account and an online fax number. If you don’t have a Gmail account yet, don’t worry — you can easily create one on the Gmail website.

To obtain an online fax number, you’ll need a web-based fax company for your account. It’s important to use a secure and reliable service like RingCentral, as your faxes may contain confidential or time-sensitive information. This company will manage your incoming and outgoing faxes for you through a secure server.

How Do I Send My Fax?

After getting squared away with a fax servicing company, the process is just like sending a typical email.

Addressing the Email

Where you would usually enter an email address, you’ll type in the address for the destination fax number with your fax company’s extension.

Your Subject Line

Your subject line contains the text that will be on the cover page of your fax. Make sure it’s on-topic and clear to your reader.

The Body of the Email

This is where you’ll type the text of your fax.

Attachments

Gmail gives you the ability to add files as attachments to be sent along with the message of your fax.

Once you press send, your fax will be sent immediately.

Why Should I Fax from Gmail?

Faxing from Gmail is the best way to send a fax without a fax machine. Having a home fax machine requires a dedicated fax line, the price of which can range from $3 to $25 per month. You’ll also save money on the paper and ink needed for a fax machine by faxing 100 percent online.

In addition, faxing online means that you can fax from anywhere and multitask in the process. You’ll save time by faxing right from where you are rather than standing by a fax machine and waiting for your papers to go through.

Why Should I Pay for an Online Fax Service Provider?

A brief internet search shows that there are many free fax service providers out there. These options are, by and large, inferior to options such as RingCentral. Free services have drawbacks such as putting advertisements on your faxes or even potentially leaking the contents of your fax.

Ring Central stands out because it’s both more flexible and less expensive than its competitors. There are desktop apps for both Mac and PC, as well as compatibility with any mobile device. It’s also more convenient: most people already have and are familiar with their Gmail accounts, and you can quickly get one if you don’t.

RingCentral currently offers a 30 day free trial of their services. After your trial is over, there are various plan options to choose from based on the number of faxes you’ll be sending.

The service also offers a phone number and chat line where you can contact an experienced professional for support, and they’ll always respond to your question or concern within 24 hours.

Are you aware that companies within the United States lean toward sending digital faxes? Creating Gmail fax to email options has permitted small and large businesses to send out and receive faxes from other computers and smartphones, which not only simplifies faxing, but also makes the process quicker, and you can benefit from this technology! How do you use the technology? Read the following explanation

How to Send a Fax

It is as easy to send a fax via a Gmail account as it is to send an email. First, click on the Compose option in your email account.

Enter the recipient’s fax number in the TO field, but, because you are sending the fax with the help of an email fax service, you need to enter the number in the same way that you would enter an email address faxnumberfaxservice.com. You simply enter the recipient’s number and faxdomain.com, using the provided domain, as the fax number. For instance, if your domain service is RingCentralFax, you would enter the number as follows 429937455463rcfax.com.

Next, attach the file to the fax you want to send. In order to accomplish this task, click the icon that resembles a paper clip, and choose the file you wish to fax. Check out our guide to find find detailed instructions that include images.

How to Receive a Fax

It is easier to receive faxes via Gmail than to send them with a fax machine. For sending faxes, you receive a virtual fax number from Gmail. You do not need to install the virtual number or even use it via an actual fax line. The method uses FoIP technology, so you only need an online connection, and you can use the number right away.

Because you have a virtual Gmail fax number, you will now receive faxes in your email inbox. The process is simple, and you can even organize tabs and labels within your Gmail email account. When you sign up for a fax plan, you almost always receive a fax number.

A few companies offering fax plans now include the option to receive faxes via smartphones. In addition to receiving a fax via Gmail, you can choose to download the appropriate app that transforms your telephone into a virtual fax machine.

Making Sense out of the Faxing Process

Sending and receiving faxes with the Gmail fax to email method helps you save time whenever you have several documents to fax. Once you get use to how it works, the process is simple and fast. However, receiving faxes is automatic and requires no human intervention. Here is one important thing to remember Create a brand new Gmail address, and use this address exclusively whenever you send and receive faxes. If you use a separate Gmail address, you can manage your faxes more efficiently.

How to Fax from a Gmail Account

This post was last updated on November 1st, 2013 at 06:32 pm

Sending or receiving documents through fax machines is really not ideal. Although I have had to share some of my documents through them too, they are however outdated as a communication tool compared to using the internet and its technologies. I generally prefer to fax from Gmail (an email service) instead of using a fax machine.

To send a fax through email is quite easy and very fast too. With it, I can work with my faxes instantly and would typically not have to deal with any machine related issues or problems like a busy line or paper jams.

Additionally, I would also be helping the environment by minimizing my office’s paper consumption. You may read on to know more about faxing through Gmail.

TIP To immediately start with using Gmail for your faxes, you may check out our Quick Start guide.

What You Will Need To Get Started

To fax through Gmail, you will need two items. The first item will be a Gmail account, you can get an account for free at httpmail.google.com. You may set up one or more free accounts for yourself, you can create an account right now too if you want.

You will also need an email fax service, which would allow you to connect your Gmail account with a fax server, in order to get your faxes like emails.

One of the key items that you will get from a fax service is a virtual fax number, you will need the number to receive your faxes through Gmail. The virtual number is usually given for free with your fax service account. Since the number works over the internet, you will not need a dedicated fax line at your office.

Sending And Receiving Faxes Through Gmail

Faxing through email is similar to sending email messages except for some differences, the following is an explanation on that.

The Recipient. Instead of using your recipient’s email address in the TO field of your message, you will need to use a number in the field. You will also need to use the extension of your fax email service with your recipient’s number too. Hence to send a fax to 3459876732 through the RingCentral Fax service for instance, you will need to use the number in the following format – 3459876732rcfax.com

The Document To Fax. With emails, the main part is the message, while with Gmail faxes the main part is the attachment. To fax from Gmail, your document can be added to your email as an attachment by clicking the paperclip icon at the bottom of the Gmail compose window. Fax services will generally allow you to fax different types of files, which can then be converted to fax files before they get to their destinations.

You would likely want to know what the message field can be used for when you are sending a fax. You may use some text in the message field as the cover page of your fax. You can use your own text or a template from your fax service.

Receiving Faxes. All incoming faxes are automatically received just like ordinary emails, this is a key and time saving feature of fax services. Once you have your faxes in your inbox, you may then categorize or tag them.

Fax to email services will generally provide you with some extra options for your incoming faxes.
You may be able to download your service’s app on your iPhone for instance in order to gain access to your faxes on the go.

Can You Fax From Gmail To Fax Machines?

The advantage of using an email to fax service is that the service can automatically convert different types of files to a fax-image format like TIFF, which is compatible with all types of fax machines.

A file can be converted the other way round too. For instance, if a fax is sent to you through a fax machine, it would be converted to a PDF file that you can easily print or read on your laptop, desktop etc.

The conversion is usually quick and would only take some few seconds. The process generally works in this manner

When you press the Send button, your file will be sent to your fax service’s server where it would then be converted to a compatible format. The converted file is then forwarded to your recipient using the number that was provided in the TO field of your message. Even if your fax service encounters a problemissue, it would continue to try and send your fax until it goes through.

Your Fax Number Options

One of the major benefits of using a fax service is that you will also get your own virtual fax number. Most fax services will generally provide you with three options when you are creating your account.

Local numbers. These are the usual local phone numbers. A lot of companies have some coverage throughout the United States, however if you are in another country, you may want to look for a local service or a service with an international network. A good example of this is eFax with a coverage in over 40 countries.

Toll-free numbers. These are telephone numbers that others can call without needing to pay for their calls. The numbers that may be available with these will depend on your country andor area too. You will usually have several toll-free numbers’ prefixes to selectchoose from. A toll-free number is ideal for communicating with your clients.

Your current fax number. Using “number porting”, your current fax number can be used together with an online service. It will generally take a few weeks for your number to work with the service however. Hence you will be given a temporary fax number to use for free.

Choosing The Right Gmail Fax Service

To get the best out of internet faxing, you will need to choose the right faxing service. Although a lot of services may claim to provide some integration with Gmail, some are however not very effective with it.

Some of the services we recommend for Gmail include RingCentral, Nextiva, eFax and MyFax. We recommended these services because they have a lot of experience with online faxing and are easy to integrate with Gmail.

Some of what you should ideally look for before signing up for an email fax service are

Free Trial Access
Most fax to email service will give you a fully featured and free account to use for at least a month.

No Hidden Fees
You should avoid any service that may want to charge you some extra fees compared to others.

247 Support
You should also look for a service that would provide you with some good support in multiple ways at any given time.

Different Plans
You will need to choose a plan that would meet your needs, you should generally avoid paying for any option you may not need.

Is It Possible To Fax From Gmail For Free?

Some of our site visitors generally ask if they can fax for free through Gmail, you may also want to know if you can do this too.

It is quite unlikely that Google will add an option to fax for free to its service. The company had recently stated that it does not have any plan for a fax optionintegration.

Some online sites may allow you to fax for free, such services are however different from using Gmail for faxing. Generally this type of sites will only allow you to send a few pages per day for free. If you need to send more faxes you would end up paying more than using some other better service. Such free sites would also only allow you to send faxes and not to receive them. They will also not provide you with a virtual fax number to automatically receive your faxes.

Does TPC Gmail Fax Works?

There are a lot of sites on the internet that teach how to fax with Gmail using TPC (that is, The Phone Company). Using TPC would generally involve checking your coverage at www.tpc.intverifiy.html and sending a fax through Gmail with this email structureformat

remote-printer.recipient_namefax_number.iddd.tpc.int

This method is however not up to date and does not provide you with a way to receive your faxes as PDF documents in your inbox, hence you should really not waste your time trying to use it.

Google Fax How to Send a Fax From Google

This post was last updated on November 1st, 2013 at 06:48 pm

What person wouldn’t want to use a good Google fax service?

Over the past five years, this major search engine has introduced a number of services that are aimed at enhancing online communications, but sadly, they do not have any intentions of adding any proprietary fax services. This, however, does not mean that it is impossible to fax through Google. Thanks to email faxing services, it is possible to use Google Drive and Gmail to receive and send faxes!

In order to get started you must first sign up with a fax service. Currently, these are the only way to secure a virtual fax number, which is vital if you want to have faxes sent to your Gmail inbox. If you prefer to send a few faxes first in order to see how these services work, you can choose to sign up for a free 30 day trial with one of the top Google fax services, this way, you can try the system out for a month before deciding if it is right for your needs.

You will also need to have a Gmail address. It is hard to fathom that there are still people who do not have Gmail addresses, but if you happen to be one of these individuals, you can create one in just a few minutes at Google. It is best to have a separate Gmail address for faxing so that all of these transmissions can be kept in one convenient place. Google has made it easy to tag your incoming faxes and to categorize them so that you can find them in the future with ease.

Sending Google Faxes

It is actually very easy to send out faxes from Gmail. It is very much like sending a regular email transmission, however, there are several small difference. Following is a quick rundown of this process

Create a new message in Gmail
– Add the fax number that the message will be sent to in the TO field, but makes sure to format it for email like this faxnumberprovider.com. So for instance, if you will be sending faxes using an eFax service, you would enter the number as 123456789efaxsend.com.

– You then need to attach the file that is going to be faxed to the message. Simply click the paperclip icon on the Gmail interface.

– Now compose you cover page in the Message field

– Click Send to transmit the fax. You will be notified that the fax has been sent successfully after a few minutes have passed.

This is how you send a fax via Gmail, but you will have a lot more flexibility with email fax services in terms of sending faxes. You will be able to send faxes directly from MS office applications, from the web dashboard of the service provider or through your smartphone. This is a major change from using conventional faxing equipment, which only gave you a single way to transmit documents.

Faxing From Google Drive

Now that millions of people across the world are using cloud storage, certain services can now be integrated with other services such as Dropbox and Google Drive. This allows you to send faxes from the cloud with the same ease that faxes are sent from an application. As a result, you can send and access faxes from any computer, anywhere and can also share these documents.
